Formula

shift = end - start in minutes (add 1440 if the end is earlier than the start).

worked per day = shift - unpaid break

total minutes = worked per day × days, and total hours = total minutes ÷ 60

Worked example

Start 09:00, end 17:30: the shift is 510 minutes. Subtract a 30 minute break to get 480 minutes (8 hours a day). Over 5 days that is 2,400 minutes, or 40 hours.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the start time from the end time, take off the unpaid break, then multiply by the days. 09:00 to 17:30 is 510 minutes, less a 30 minute break is 480 minutes, so 8 hours a day.

How do I get a weekly total?

Set the days worked to the number of days with the same shift. 8 hours a day for 5 days is 2,400 minutes, which is 40 hours.

Why are my hours shown as decimals?

Many payroll systems use decimal hours. Divide the minutes by 60: 470 minutes is 7.83 hours, because 470 ÷ 60 = 7.8333 rounded to two places.

Does it handle night shifts?

Yes. If the end time is earlier than the start time, the shift ends the next day. 22:00 to 06:00 is 480 minutes, or 8 hours. A break longer than the shift gives an error.
